19. 2. 1 Welcome by the Chair

The Chair welcomed the Executive Committee members to the second meeting in year 2019.

 

19. 2. 2   Confirmation of the minutes - meeting 1: 2019

Dr. Sudheera proposed that the minutes are in order and Dr. Pradeep seconded it.

 

19. 2. 3 Matters arising from minutes

As the minutes of the AGM 2017 are yet to be confirmed, the Chair proposed to circulate another e-notice among the IEEE members. The minutes will be finalized based on the feedback if any and they will be confirmed at an SGM that will be held in parallel to a major activity of the Section.

 

The following activities were proposed to be organized by the IEEE Sri Lanka Section. A proposal with a time plan and an estimated budget has to be submitted by responsible Executive Committee members to get the approval for each activity.

Mr. Chanaka presented a detailed proposal.

Prof. Ruwan advised to organize the activities of the techno meet up with no duplications that of the robotics society.

The extended deadline to submit the proposals is 01^st of April. The Chair advised the Secretary to remind the deadline to the responsible ex-co members.

Budget will be allocated for the activities to be held in year 2019 by evaluating the proposals by the next ex-co meeting. Mr. Rajitha will compile the proposals and prepare a document to be sent to the sponsors. Prof. Chandimal will table a criterion to be considered when allocating budget for the SBs.        

 

19. 2. 4 Technical co-sponsorship for conferences

 

ICTer 2019        : TCS fact sheet is pending

MERCon 2019   : Committee decided to grant TCS. The Secretary will request the conference organizers to appoint a Coordinator from among the ex-co and to nominate the same as a TPC member.

 

ICIIS 2019          : Committee decided to grant TCS. The Secretary will request the conference organizers to appoint Dr. Sudheera as a TPC member.

ICIAFS 2018:     The Secretary will send another reminder to the conference organizers to provide the financial information.

HTC 2018:          The Secretary will remind the Treasurer of HTC 2018 to submit the financial report.

SCSE 2019:        The Secretary will inform the conference organizers to change the conference name (This is not an IEEE conference though it is mentioned so in the web. The name mentioned in the web is different from that of the MoU). They will be informed to send 3 invitations to the IEEE Sri Lanka Section.

ICNSNT 2019:   The Secretary reported that the TCS fact sheet was sent to the conference organizers.

POMS 2018:      The conference organizers have informed that the financial transaction to IEEE was successful.

 

The TCS fact sheet and the guidelines will be scrutinized by a sub-committee comprised of following members.

The Chair informed about the IEEE Region 10 Conference Leadership Program. The Secretary will circulate an email among the ex-co members to check the interest of members to attend it. Further, the Treasurer will check the possibility of funding partially.

 

19. 2. 5 Any other matters

Volunteers of SAC will update the web page.

The Chair will find a solution to the matter related to transferring rebate to KDU SB. 

Prof. Ruwan Gopura proposed to upload the ex-co meeting minutes to the IEEE event reporting web page. The Secretary will do the needful.

The Chair updated that the HTC report was presented at the R10 Congress and the audience appreciated the technical quality of the conference.

Mr. Rajitha will draft an e-notice to get the members’ views about a credit card facility and send to the Secretary to be circulated.

 

The meeting was adjourned at 12.00 noon.

 The next meeting will be held online on a convenient date between 8^th to 10^th April.
