Minutes of IEEE UTS Student Branch Meeting – 19.04.2018

Participants: Noman, Mohamed, Shubhekshya, Chau, Cristo, Yuris, Hasini

Stated below are the key points discussed in the meeting.

Welcoming the new committee members
- Noman welcomed the new committee members of IEEE UTS student branch – Yuris and Cristo
- Yuris is the new Head of Publicity Committee
- Cristo is the new Head of Program Committee

Changed funding scheme
- Noman briefed the members about the changed funding scheme for IEEE student branches
- The funding is approved based on the events conduced in the previous year, based on a pre-approved criteria

IEEE UTS student branch is now registered under UTS Student Societies
- Noman announced that IEEE UTS Student Branch is now officially registered under UTS Student Societies and will receive all the entitled benefits including funding, storage space, stalls and booths at UTS events etc.
- Noman is to follow up with the UTS Student Societies about using the UTS logo for branch activities

Encouraging undergraduate engagement in branch activities
- It was discussed to see to the possibility of informing the students about, and promoting the student branch during tutorials and casual lectures
- Promoting the ongoing free membership was identified as an urgent action item. The free membership promotion is to expire by the end of April
- A workshop/lecture/presentation series is to be organized focusing the undergraduates, on the avenues after graduation – research and industry
- The availability of the speaker for the above and scheduling a date for the event are to be done
- It was decided to encourage the undergraduates to participate in Australia council competitions by submitting their already completed final year/group projects.
Having more visibility
- It was noted that the branch website needed revamping
- It was decided to organize a website development competition for undergraduates, with cash prizes
- Noman is to send out the flyer with the necessary information

Mohamed updated the committee on the NSW section committee meeting he attended in behalf of the student branch.
Noman is to email the IEEE members on TENSYMP conference
It was decided to resubmit a request for using UTS logo for IEEE UTS Student Branch logo and website. It was noted that the chances of getting the request approved is higher after registering with UTS Student Societies
Noman gave a brief introduction to Vtools, a better and easier way of event reporting
Noman is to add Mohamed to IEEE NSW section emailing list and vTools.
Noman is to forward all the website related material to Yuris, copying Ling and Chau. Chau is to introduce Ling and Yuris and help Yuris get basic knowledge about website maintenance
Organizing a BBQ lunch at Alumni Green and re-designing a banner for the student branch and getting it printed were discussed as the next action items
Noman thanked the members who volunteered at the IEEE Computational Intelligence ExCom Workshop 2018

The meeting adjured with Noman thanking the members for the participation and support.
