IEEE Karachi Section Minutes of the Meeting

Following proceedings were recorded during the meeting:

• The meeting started with recitation from Holy Quran by Dr Tariq.

Agenda 1: Approval of previous meeting minutes:

• The IEEE 4^th Ex Comm Meeting Minutes were presented and approved.

Agenda 2: HTC Conference on Jan 8-9, 2024:

• Prakash Lohana told the committee members that date of HTC Conference has been extended.
• TRS asked the committee to declare Section activities
• Dr Asim shall write an email to IEEE in coordination with Dr Tariq in this regard.
• The members were told that HTC Conference has been delayed so the Call for Papers (CFP) will be issued at a later stage.

Agenda 3: Status of activities organized/planned by various OUs:

• Sadiq told the committee that 2 activities already done reported by Dr Shahab.
  1. One more activity is on cyber security (Online) planned in October, other is on Latex in September by the Education Society.
  2. 2 more activities shall be planned next month.

• Dr Tariq told that it is observed that Lahore and Islamabad CS Chapters are not attending meetings at the Region 10 level.

1. Dr Shahab has requested for grant for Malaysia, as email from Prof Rawidean Qasim received by Karachi Section.
2. Prakash Lohana explained that for Regional Conferences Section grants cannot be used.
3. Further he added that SAC Chair, WIE, YP (partial) funding’s are granted by Section.
   1. Call for PSYWC has been given and budgeted partial payment shall be given to students.
   2. The call has been sent and applications are being considered by the committee, evaluated and finalized.

• Dr Sadiq added that societies do not have their own funds so they are asking for Sections support and 50% support policy is to be formulated.
• Dr Tariq told that there are 4 chapters and 7 affinity groups, which may increase in future and so if policy is made then it should be persistent, so it is not possible as Section is only earning from Conferences, instead of $200 to Chapter and AG, Section is already paying much higher.

1. Prakash suggested that there should be no ad-hoc policy for funding.
2. Dr Tariq told that all societies have funds in India, Indonesia and Australia etc.
3. Mumtaz told that efforts can be done to get sponsorship so that Chapters and AG can be self-sustain.

• Dr Tariq suggested that these points may be added to the operations manual.

• Ishtiaq from PES told that 4 technical sessions, 4 Ex Comm meetings, 1 Women in Power (Held at NED University) till now.
• Dr Faisal told that 3 funds have already been approved and activities conducted online.
  1. Dr Faisal is working on PES scholarship and all Sections to be involved, Lahore, Islamabad Sections also.
  2. Dr Bhawani requested Ishtiaq sahib for a report on EU funding.
• SAC Chair Umair told that now all members have been finalized and introduce new SSR Bazla Bilquees from Hamdard University.
  1. The Budget for IEEE Day and VolT has been approved as follows:

1. WIE, YP, SSR, SAC, SIGHT Chairs will attend given @Rs 20000/= each total Rs 100,000/=.

• Air Ticket for Chair Karachi Section as per policy, local hospitality will be provided by Islamabad Section

1. Prakash told that rubrics to be used for student’s selection such as attending KYC events, 2 years’ experience, not in final year.
2. Dr Asim to send email for students’ selection.
3. Dr Tariq suggested and committee approved Rs 70,000/= for IEEE Day, Rs 25,000/= for 2 VoLT events each.

• On behalf of ComSoc Dr Umair visited Ireland as a distinguished guest speaker and received funding of $500 also.
  1. A session was held with Italy also for industrial collaboration, on behalf of ComSoc and students learned a lot.
• Prakash proposed an Ethics competition in 2024.
• SIGHT has also planned a lecture with collaboration of SPO (NGO) in Hyderabad on Assistive Technologies and to eb recorded on IEEE activities.
• Dr Bhawani informed that a committee named Public visibility Committee has been formed including guest member Mr Yaqub Kunder of IEEE Explore to encourage Carbon neutral campus at NED University and IBA Sukkur.

Agenda 4: Any other item:

• Being no other point to discuss meeting ended with a vote of thanks from the Chair.
