Meeting Notes and Decisions:
Updates project department:

  1. General Progress All tasks are set, and everyone has started working. Not all previously
    discussed projects were selected, as some required extensive time and effort. Ultimately, six projects were chosen.
  2. Selected Projects

     

    Gather: A gamified version of Discord for work, featuring a 2D environment where use control characters that navigate. Four technical team members are involved:
    DevOps specialist
    Frontend developer
    Backend developer
    Game developer
    INSAT Platform: A chatbot-based guide for university students with multiple features.
    AI Interview Assessor: Evaluates interviews by analyzing tone, body language, and other factors, providing notes and grades.
    INSAT Event Manager: Organizes university events, providing reminders and filtering options.
    Implementation Research Paper: Focuses on implementing well-known research papers, particularly those suitable for beginners.
    Vulnerability Scanner: Scans websites for vulnerabilities and security risks.

    3. Work Distribution & Meetings

    A meeting was held to define workflows and distribute projects among team members
    Some projects involve four members, while others have only one or two.
    Certain individuals, like Tarek Gritli and Ghaith Rwehi, are contributing to multiple projects.
    Each team must create a use case diagram to clarify project objectives for newcomers.
    A detailed project document will be posted along with a form for further project documentation.
    Iyed will provide an example to assist teams in drafting their project specifications
    A specific meeting for the Gather project was conducted, where Iyed assisted at the beginning but encouraged independent work.
    A general assembly for the project department will be held exclusively for accepted members to foster collaboration and document detailed project descriptions.
    Teams are currently identifying the prerequisites for each project before development begins.
    Every four days, Iyed will check in with teams to assess progress and address any blockers.
    If someone is not contributing effectively, Iyed will intervene to ensure accountability
    Team sizes should remain manageable to prevent task delegation issues and maintain motivation.

    4. Media Content & Communication
    A social media post featuring TSYP pictures will be created to showcase past projects and
    encourage participation in new ones.
    The post is scheduled for Wednesday.
    Iyed and Sarra will review the remaining work together.
    Updates have been made to the CS calendar.

    5. UI/UX Form & Book Release

    The UI/UX form has been published and will remain open for one week.
    Following its closure, the UI/UX book will be released.
    A meeting with the UI/UX team is scheduled, giving them a week to familiarize themselves
    with projects before selecting team members for each initiative.

    Updates DO :

    This year's edition consists of three tracks. The third track, previously referred to as the advanced track, will instead be called "Talks" to avoid discouraging participants from competing against advanced individuals.
    Beginner Track: Each workshop will have its own form. There will be two ML workshops and two DL workshops.
    Intermediate Track: A series of workshops with fees. A form will be available soon.
    A real-life queue was suggested to replace email-based registration issues but was dismissed due to concerns about long wait times and limited spots. Instead, a detailed media post will be created explaining all necessary details.
    Officers will have free passes
    The DataQuest Hackathon competition will occur simultaneously, each with its own prize pool. Different competition levels will be implemented
    The early posting of the staff form was questioned, but it is not actually a staff f
    Instead, each manager requiring assistance has posted it accordingly.
    The format of the "Talks" track is yet to be decided, whether online or onsite. The final decision will depend on availability, with Wednesday or Saturday being considered as possible days.

    Updates AINS:

    The committee is fully prepared, and the first meeting was held last Thursda
    Discussions focused on defining the vision and breaking down each role with detailed ta assignments.

     

    Regarding the Hackathon, the initial decision was to start it 14 days before the main event, but
    this needs to be reviewed due to potential exam conflicts

         Registration should close two weeks prior. If someone registers but is not accepted after pitching, they do not need to attend the congress, so the dates should be reconsidered.

Workshops will be organized during Ramadan holidays to introduce more people to AINS and encourage participation.
Problem difficulty distribution should be adjusted: an easy problem, followed by a hard one, then medium, another hard, and an easy one... This structure prevents participants from getting discouraged by consecutive difficult problems.

TB:

A teaser will be released two weeks before the Team Building (TB) event.
Eya and Sarra will have a meeting to finalize the dates and details of the even
Organizers are needed to assist with the event
A form will be posted and will remain open for one week.
The event is currently planned for Wednesday after the DO workshops, as JTI is scheduled for the
26th.
Sarra is developing an idea involving our animated characters.
Another idea under consideration is to create a TV opening effect where we get surprised to see ourselves on screen.
A form post and fees post will be shared soon.
The event will take place on either Wednesday, February 19, or Saturday, February 16.
