R1/R2 Joint Board Meeting

This is the third year of the Joint Region Board Meetings as we move towards the merger of Region 1 and Region 2. We hope that all Region committee leaders will attend and each Section will have its chair or a designated delegate present.

The Saturday and Sunday meetings will include presentations from invited IEEE Leadership and staff, as well as regional reports. 

Ensure YOU:

  1. ®️ Register for this event and plan to attend BOTH days of the Joint Board Meeting!
  2. 🏨 Use the IEEE Group link to reserve a room at the Sheraton Pentagon City Hotel and receive the special group rate ($159+tax per night, excluding parking).

If attending with a companion:

  1. 🍽 Register your companion for applicable dinner(s) 
  2. 🚌 Register your companion for the Saturday Companion Tour program (details and registration here. Registration will open NTL May 5)

All attendees AND their companions require a separate registration. 

Please complete your own registration and then register your companion, as applicable.

All R1/R2 leaders and primary delegates' expense reports should be submitted to your respective region via the IEEE Concur Travel Expense reporting system within 60 days of the meeting.

Additional Section Officers require Region Director approval. Sections may send no more than ONE extra Section Officer, and they, or the individual, are responsible for all expenses. 

Travel Planning:

  • R1/R2 SPC: Arrive by 1 PM Friday for the SPC meeting (may stay Thursday night if needed due to travel timelines) 
  • R1/R2 ExCom: Arrive by 3 PM Friday for the ExCom meeting (may stay Thursday night if needed due to travel timelines)
  • All Others: Arrive Friday afternoon or evening. The full committee meeting will begin Saturday morning and end by noon Sunday.

If you are driving to Arlington, VA, you can obtain driving directions here: Sheraton Pentagon City Hotel.

You can drop off luggage at the front entrance.

Parking: The parking rate is $15 overnight or $5 daily plus tax. Parking reimbursement will be limited to this amount.  Any additional fees will not be fully reimbursed except when preapproved by the Region Director and attached to the expense report.

By ✈️:

If you are flying, the closest airport is Ronald Reagan Washington National Airport (DCA). The hotel shuttle operates every half hour from 6:00 AM to 9:00 AM and on the hour from 9:00 AM to 11:00 PM. Shuttle arrival times may vary due to traffic. Pick-up is available at the Terminal 1 Main Entrance and Terminal 2, at Doors 4 and 7.

R1 and R2 leaders and primary delegates: YOU WILL NOT BE REIMBURSED FOR OTHER TRANSPORTATION FROM THE AIRPORT.  THE SHUTTLE IS THE MANDATORY TRANSIT OPTION IF YOU ARE FLYING. 

There is an additional shuttle to Pentagon City/Mall, departing the hotel from 9:30 AM to 9:30 PM (once an Hour on the Half-Hour) and departing the Metro/Mall (in front of the Ritz-Carlton) from 9:45 AM to 9:45 PM (once an Hour on the 45).

By 🚅:

Take the Amtrak to Washington Union Station. A taxi from Union Station to the Sheraton Pentagon City Hotel costs ~$20-30, depending on traffic congestion.

Cancellations

Please notify your Region Secretary (R1 SEC / R2 SEC) by 6 PM on Tuesday, June 3rd, if you registered but can no longer attend the Joint Board Meeting. Those who fail to do so will be liable to their Region for expenses.
