WIE X PES/PELS JED meeting
Opening Remarks
The meeting commenced with opening remarks from the chair of WIE.
Discussion
1. Introduction to Junior Engineering Day
o The Chair of WIE introduced the concept of the event to the PES/PELS board.
o The event name was changed later to Junior Enlightening Day.
o The Chairwoman explained the event’s purpose and collaboration to
transform it into Junior Energy Day.
o Instead of an elementary school, the event will take place at a “Lycée Pilote”
(pilot high school).
o A pilot high school was selected due to its manageable student numbers
compared to a standard high school.
2. Event Details
o PES/PELS will handle all technical workshops related to energy.
o The event will also provide guidance on higher education, introducing
students to the field of engineering and its various career paths.
o Potential dates: April 9th or May 1st.
o A small organizing committee will be formed and guided by WIE and
PES/PELS leadership.
o Budget allocation:
▪ A large portion of the budget would go toward transportation. Which
is why discussions with the university to provide transport support are
necessary.
▪ The possibility of welcome or farewell gifts will depend on
sponsorships and final budget considerations.
3. Committee Structure & Selection Process
o Committee roles:
▪ Organization Manager
▪ Media Manager
▪ Treasurer/Sponsorship Manager
▪ Technical Manager
▪ Additional staff members as needed.
o Application process:
▪ Posts will be shared on IEEE Facebook pages and group chats.
▪ Applicants must be IEEE members.
▪ Interviews will be conducted once applications are received.
4. Logistics & Planning
o Meals & Breaks:
▪ Lunch and coffee breaks will be provided to participants.
o Schedule:
▪ Morning: Technical workshops and advanced sessions.
▪ Afternoon: Lighter sessions, including guidance and mentorship.
5. Funding Strategy
o Previous year’s model:
▪ A fundraising booth was set up using club funds.
▪ Expenses were reimbursed, and additional revenue was generated
through another booth.
o This year’s plan:
▪ If sponsorships are insufficient, a similar booth strategy may be
adopted.
▪ However, funds will not be drawn from the club budget.
Conclusion & Next Steps
• Finalize committee formation and interview process.
• Confirm university support for transportation.
• Continue securing sponsorships.
• Plan logistical details, including meals, budget distribution, and workshop
scheduling.
Meeting adjourned at 1:25 PM.
