IEEE 3rd EX-CO Meeting: Sri Lanka Section

IEEE Electronic Design Competition (EDC)
Dr. Pradeep briefed the progress of the Electronic Design Competition to the ex-co.
30th June was proposed for the event. A Google registration sheet was drafted and last year registration form was adopted. Student participation of 500 (150+ teams) is expected and the proposed budget was LKR 400,000. Last year allocations were around LKR 600 per student.
Sponsorship scheme is already prepared and requested for inputs from ex-com members on sponsorship benefits. A competition was initiated to design a logo for IEEE EDC. UOP, UOM, SLIIT, UOR and WUSL are the already confirmed venues. Based on the number of teams, Kilinochchi will also consider as a venue. There was a request from OUSL to consider them as one of the centers.
IEEE Family Get-together
Mr. Kavinda briefed the ex-co about the updates of the IEEE Family Get-together.
The proposal was circulated among the ex-com members prior to the meeting. Two quotations were received from Paradise Beach Hotel, Negambo (LKR 2,300/head) and Sooriya Resort, Wayikkal (LKR 3,300/head). Decided to select the location based on the sponsorship amounts. SAC chair and SSR are communicating with the WUSL students to host the event. A registration portal will be open in the section web and a small nominal fee will be charged for the registration.
IEEE Sri Lanka Section SYW Congress and Innovation Nation Sri Lanka
The SAC Chair, Mr. Chanaka updated the ex-com about the current situation with the Congress planning. First physical meeting of the SYW Congress and INSL organizing committees were held together during the last weekend and currently teams are preparing the proposal. They were also requested to look for planning industrial collaboration events. Finals of the INSL will happened during the Congress period,
Prof. Chandimal informed the ex-com that the Prof. Yousef Ibrahim (Attendee to the last year congress and Vice chair, IEEE IES) gave a good feedback about the congress and was really impressed.
SL Inspire
Mr. Peshan informed the ex-com that the proposal of the SL Inspire was submitted for IEEE HAC funding. Currently the organizers are with the preparations of the sponsorship proposal.
Education Program
Mr. Chandana updated the ex-co about the proposed event in order to benefit both the society and IEEE Sri Lanka Section. Idea will be to organize a competition for school students and a workshop for O/L students. Since the permission is required from the Ministry of Education, Mr. Chandana will prepare two proposals for above ideas and will share it with the ex-com within next month. This event will be a new initiative for the section.
A Distinguished Lecture by Prof. Saman Halgamuge
Prof. Chandimal informed about the interest shown by Prof. Saman Halgamuge for a lecture on the second week of May and December. Prof. Halgamuge will deliver an IEEE distiguished lecture on 8th May at University of Kelaniya (already endorsed by IEEE HQ). The request also to consider endorsing the same event by IEEE Sri Lanka Section. Prof. Gopura stated the importance of organizing an event with Prof. Halgamuge. Since, an IEEE Technomeetup event is planning to be held on the first week of May, Mr. Peshan and Mr. Chanaka stated the difficulty to make it an event of Technomeetup. Ex-com agreed to endorse the talk on 8th May as a section event and to request from University of Kelaniyia to promote this as a talk organized collaboratively by IEEE Sri Lanka Section and UoK and invite some of the IEEE members. Also agreed to arrange a separate event (IEEE Technomeetup) with Prof. Halgamuge at UoM or SLIIT on December. Prof. Chandimal to make contact with Prof. Halgamuge on that.
Student Branch Officer Training
Mr. Chanaka, informed that ex-com that the basic preparations for the event is taking place to held the event on 28th April at UCSC. Further highlighted the issue having with the budget as the section annual budget allocations are not finalized. Mr. Chanaka also mentioned that he is thinking about organizing the event with money in hand and request for a reimbursement later.
Also empathized the inability to go for industrial sponsorships. Mr. Chanaka and Mr. Peshan also mentioned that the prepared budget not included the allocations for student activities.
Mr. Chandana mentioned that the rebate allocations for WIE and YP not in the proposed budget.
Due the absence of the treasurer, Prof. Chandimal mentioned that he will discuss with the treasurer and informed the ex-com.
IEEE Sports Day
Mr. Chanaka mentioned that the Sports Day is not yet planned and will be planned by the SAC team.
- 3. 5 Technical co-sponsorships for conferences
ICTer 2019 : TCS fact sheet is still pending
MERCon 2019 : Committee decided to grant the TCS. Requested Prof. Gopura and Prof. Udayanga to be in the TPC.
ICIIS 2019 : Committee decided to grant TCS to appoint Dr. Sudheera as a TPC member.
ICIAFS 2018: The Secretary will send another reminder with a deadline to the conference organizers to provide the financial information. Not to provide sponsorships if they did not meet the deadline.
HTC 2018: The Treasurer of HTC 2018 agreed to submit the financial report within a week.
SCSE 2019: The organizers were requested to change the conference name and the IEEE name was removed.
ICNSNT 2019: No updates.
- 3. 6 Any other matters
- Chandimal informed that the request related to the initiation of Bank account for KDU Student Branch was discussed with Prof. Koliya and requested him to talk with their Vice Chancellor.
- An e-notice to get the members’ views about a credit card facility was already circulated.
- Chandana and Mr. Rajitha mentioned about making a partnership as the section with some companies in yearly basis as it might be easy to find sponsorships for IEEE events and this idea is different to the event sponsorships. Mr. Rajitha will prepare a proposal based on this for possible partnerships.
- Signatory for the bank account were also changed.
- Chandimal will discuss with the Treasurer regarding the budget allocations and update the ex-com.
The meeting was adjourned at 12.20 PM.
The next meeting will be held at either UoM or UoP on a convenient date in early May.
