Welcome and Announcements: Chairman, Vice Chairman, and Secretary welcomed all the members present in the meeting.

Agenda Item #1: Ratification of minutes of the previous meeting

Discussion: The minutes of the previous meeting was read by Mr. Narendra Kumar Dhar and with the consent of members present in the meeting, minutes were approved.

Agenda Item #2: Technical co-sponsored events by IEEE UP Section CIS Chapter

Discussion: Chairman has announced about the technical support provided to the events to be held in India CIS11. Three applications have been received to provide the technical support to the events. The technical co-sponsored events are listed as per the following details:

• National Conference on Computing, Communication, Control, Informatics and Pharmaceutical Sciences (NC⁴IPS 2020) to be held during March 6^th - 7^th, 2020 at Kanpur Institute of Technology (KIT), Kanpur, Uttar Pradesh, India

• An email from IEEE has been received by Chairman and Vice Chairman regarding sponsorship and publication amount for paper indexing of NC⁴IPS 2020 because Organizing Chair of NC⁴IPS 2020 has listed our chapter i.e. CIS11 as one of the sponsors. However, it is not the case because CIS11 has provided only technical co-sponsorship to this event.

• International Conference for Recent Advancements in Computers, Communication & Information Technology (ICRACCIT 2019) held during November 30^th- December 1^st, 2019 at Pranveer Singh Institute of Technology (PSIT), Kanpur, Uttar Pradesh, India

• International Conference on Artificial Intelligence & Applications (ICAIA 2019) held during November 20^th - 21^st, 2019 at College of Engineering Roorkee (COER), Roorkee, Uttarakhand, India

Action Items: The action items of the agenda are listed below:

• The report of the technical co-sponsored events held must be submitted by the organizing committee of the events.
• Chairman and Vice Chairman will reply to the email received by IEEE explaining that CIS11 is only providing the technical co-sponsorship to NC⁴IPS 2020. Since CIS11 does not provide any financial support, the technical co-sponsorship can be withdrawn if any financial aid is required to be submitted.

Agenda Item #3: Office bearers for the year 2020.

Discussion: With the consent of members present in the meeting, the list of office bearers for the year 2020 was suggested by the Chairman subject to that one must be an IEEE CIS member. The executive committee members from January 2020 to December 2020 are as follows:

Action Item: The new Executive Committee Body will be effective from January 1^st, 2020 and the office bearers will be reported to IEEE CIS. It is mandatory to become an IEEE CIS member to hold a position in the executive committee body. Hence, the members must renew their membership for the year 2020.
