Minutes 13th IEEE GS C16  Board Meeting

The Meeting was set up in an alternate location on short notice - secretary/the host for the original meeting link did not open the meeting session and was unavailable.

Items discussed:

• Reporting: The importance of reporting events in vTool was discussed. The only way to show activity is through proper documentation with this tool. This chapter was considered as status Q3 (Not Active but Reachable) but has been recently reevaluated to status Q2 (Active but Not Reachable).
• Treasurer: Treasurer is mostly unavailable, the situation remains difficult. It continues to make planning for events difficult, especially regarding funding. Chair is continuing to contact treasurer and IEEE CS Session Chair contact to improve on this situation.
• Webpage: Access to the webpage adminstration is restricted to treasurer/secretary. Chair is still trying to clarify what support to expect from treasurer/secretary.
• Future plans:  Reach out to other Region 8 chapters to organise both in person and online events. Planning for awards

Action Items:

• Recent event in Darmstadt will be entered into vTools. - Christof
• As soon as access to web page is clarified webpage is updated - Ayesha
• Treasurer is contacted again to clarify commitment in C16 group - Kawa

currently, the next meeting is scheduled for September 26th, 2025, however, a meeting at the end of August will be scheduled proposed date is 28th August 2025, 0900 CEST
