Officer Training Week: "Sponsorship Requests"
As part of our IEEE ESPRIT SB Officer Training Week, we continued with "Sponsorship Requests: From IEEE Support to External Partners": a practical session designed to help our officers understand how to prepare, structure, and submit effective sponsorship requests for IEEE activities.
The session introduced both internal sponsorship opportunities through IEEE Region/Section support as well as external sponsorship ones from local companies and organizations, going through the requirements, processes, and responsibilities needed in each scenario. Attendees got to learn that internal funding requires a written proposal and budget submitted well ahead of deadlines, while external sponsorship requires a specific proposal, a sponsorship letter, in addition to a written agreement before any commitment is made.
The session also delved into the different forms external support can take, including monetary contributions, goods/services, and venue support. As for the deliverables expected in return, they range from logo placement and social media visibility, to booths and event keynotes. The instructor made sure to highlight IEEE branding guidelines for branded materials and keeping track of commitments made to sponsors whether internal or external.
Finally, officers were introduced to an Event Budget Sheet as a preparation tool, showcasing how preliminary expenses and income should be planned before initiating any funding or sponsorship requests. Through this practical session, IEEE ESPRIT SB officers with a clearer understanding of how to prepare funding requests in an organized and well-documented manner.
